National Register of Donated Items
IntroductionThe purpose of this Register is to properly record, and maintain, a list of all items donated to the Sir Henry Royce Foundation, Australia (SHRFA). It provides for donors names to be recorded and each item numbered, identified, described, categorised and valued.
As it is most likely that the majority of items will originated from members of Branches of the Rolls-Royce Owners' Club of Australia (RROCA) it is appropriate that a Branch Register be established, and maintained, by a Member of the SHRFA Advisory Committee attached to each Branch of the RROCA and that such Registers be capable of being combined into a National Register which identifies the Branch at which the item is located or originated.
The attached National Register has been compiled using Microsoft Excel database which has numerous advantages for this type of application, including ability to merge, sort and search.
Every item will bear a unique Accession Number which will consist of the Branch Code Letter followed by a chronological Item Number assigned by that Branch for each and every item donated to the SHRFA.
Headings used in the Database
- Branch Code Letter
- The code letter for the Branch Register on which the item is recorded is identified by the following prefix letters. Material from sources other than Branches will be included under 'O' (Other) with a note as to its origin.
- A = ACT Branch
- N = NSW Branch
- O = Other Sources (with note)
- Q = QLD Branch
- S = SA Branch
- V = VIC Branch
- W = WA Branch
- Item Number
- An 'Item' consists of a single identifiable unit no matter how large or small. It may be a complete car, a letter, a part, a painting etc. Collections of magazines or photographs in albums etc should be regarded as one item. The Registrar in each Branch of the RROCA will assign a number to each item as it is received. The unique number will consist of the Branch Code Letter followed by the Item Number; eg V23, N45 etc
- Date
- The date of accession, receipt or cataloguing in the form; dd/mm/yyyy.
- Donor
- The name of the donor in the form; Surname, Christian name or initials.
- Category
- To aid in cataloguing the collection and to assist in searching the database, a general category is assigned to each item according to the following definitions.
- Air
- Aircraft, or any part thereof including engines and turbines.
- Art
- Artistic work such as a framed painting, lithograph, etching or drawing, sculpture or any other handcrafted piece of work.
- Book
- A bound volume, not being a Handbook, Manual, Guidebook etc.
- Broch
- Brochure, booklet, pamphlet, leaflet, etc giving descriptive data.
- Car
- A complete motor car, or any part thereof including the chassis and attached coachwork, if any. If the item is part of coachwork not attached to a chassis it should be include as Coachwork.
- Coach
- Coachwork, or any part of a motor car's coachwork, not being a part of the chassis.
- Corres
- Correspondence, letters, documents, faxes, telegrams, notes etc,
- Equipt
- Equipment used to service motor cars, such as hand tools, machines, test equipment and apparatus etc.
- Illust
- Illustrations, technical drawings and plans, sketches, graphics etc. not being a photograph , work of art, or in a bound form.
- Indust
- Industrial engines and machinery including Royce made cranes and electrical equipment.
- Magaz
- Magazine, bulletin, periodical, journal, etc not being a Manual or Report.
- Manual
- Manual, handbook, guidebook, parts catalogue and other such books generally used for reference.
- Misc
- Any other miscellaneous item that does not readily fall into one or other of the defined categories.
- Models
- Models of any kind , including cars, engines, machinery, aircraft etc.
- Movie
- Movie films and videos.
- News
- Newsletters, newspapers, paper cuttings etc.
- Photo
- Photographs, black and white and color prints, negatives, slides, transparencies, albums, collections of photographs, posters (not being Art) etc.
- Rally
- All material relating to Federal or Branch Rallies such a programs, publicity, events, maps, itineraries etc
- Record
- Records and lists relating to RROC, such as Membership, Cars etc
- Report
- A specific report of some kind such as an Annual Report, Report to Shareholders, Report from a Consultant etc
- Description
- A brief description of the item which identifies its basic form or nature.
- History
- Known history of the item such as owners, where found, uses, shows, winnings, dates, rarity, taken by, part of etc.
- Value
- Estimated value of the item at the time of receipt by SHRFA.
- Notes
- Any other notes, eg reference to correspondence, format, conditions etc.

To save space in the Register frequently used words, and names may be abbreviated. Their meanings are listed below:
